An operations partner, not an AI agency. We don't start with technology — we start with how your business runs, and recommend automation and AI only where they earn their place.

Who this is for

Built for teams growing faster than their processes

If your business runs on skilled people, shared tools, and processes that grew up organically — this audit was designed for you.

Founder-led businesses

Where too much still runs through the founder's inbox.

Professional service firms

Legal, accounting, consulting — billable time lost to admin.

Agencies

Client onboarding, reporting, and handoffs that eat margin.

Financial services

Document-heavy workflows with compliance in the loop.

Education & training

Enrollment, scheduling, and student communication at scale.

Multi-location businesses

The same process done differently at every site.

Research & knowledge firms

Expertise trapped in documents, inboxes, and heads.

Growing companies (5–50 people)

Processes that worked at 5 people breaking at 25.

Teams without an AI function

No internal automation or AI team — and no plan to hire one.

Sound familiar?

Where time and money quietly leak

Most operational waste doesn't look like waste. It looks like normal work — until you add up the hours. These are the patterns we find most often.

Repetitive administrative work

Skilled people spending hours on scheduling, filing, and follow-ups a system should handle.

Manual data entry

The same information typed into two or three systems — with errors compounding at each step.

Slow lead follow-up

Enquiries answered in days instead of minutes, while competitors respond first.

Inefficient customer onboarding

Every new client kicked off by hand — inconsistent, slow, and dependent on whoever is free.

Repetitive reporting

Someone rebuilding the same spreadsheet every week from exports and copy-paste.

Information scattered across tools

Answers split between email, chat, drives, and five apps that don't talk to each other.

Poor internal knowledge management

Hard-won know-how living in people's heads and old threads instead of a findable system.

The same questions, answered again

Senior staff repeatedly explaining policies, pricing, and process instead of doing their jobs.

Inconsistent processes

Outcomes depending on who did the work that day, not on a defined way of working.

Key-person dependency

Critical work only one person knows how to do — a bottleneck and a business risk.

AI used without standards

Team members experimenting with AI tools individually — no guidelines, quality control, or shared gains.

Hiring to cover inefficiency

Adding headcount to keep up with work that a better process would simply remove.

Three or more of these sound like your business? The audit will tell you what they cost — and which are worth fixing first.

What the audit is

A structured look at how your business actually runs

Not a sales exercise and not a software demo. We interview your team, map your workflows and tools, measure where time goes, and put the findings in writing — with a plan attached.

  1. 01 Week 1

    Discovery & interviews

Structured interviews with leadership and the people doing the work. We learn how work actually flows — not how the org chart says it should.

  2. 02 Weeks 1–2

    Process & tool mapping

We map your core processes end-to-end and inventory every tool, integration, and workaround — including the spreadsheets nobody admits to.

  3. 03 Week 2

    Analysis & scoring

Each workflow is assessed for time cost, error risk, and automation potential. Your Business Productivity Scorecard is built from this evidence.

  4. 04 Week 3

    Roadmap & readout

You get a prioritized 90-day roadmap — quick wins first — presented in an executive session with clear owners, effort, and expected impact.

The method

Audit → Optimize → Automate

Technology last, on purpose. We fix the process before we automate it — so you never pay to speed up work that shouldn't exist.

  1. 01 Understand

    Audit

We document how your business actually operates: processes, tools, handoffs, and where hours and money quietly leak.

    • Stakeholder interviews
    • Process mapping
    • Tool & data inventory
    • Time-cost analysis
  2. 02 Simplify

    Optimize

Before any technology: we redesign the process itself. Remove steps, clarify owners, standardize the way work gets done.

    • Process redesign
    • Standard operating procedures
    • Tool consolidation
    • Clear ownership
  3. 03 Systemize

    Automate

Then we apply automation and AI where they genuinely pay off — repetitive, rule-based, high-volume work first.

    • Workflow automation
    • AI-assisted workflows
    • Reporting automation
    • Knowledge systems
What you receive

Everything in writing. Everything actionable.

The audit ends with documents you own and can act on immediately — whether you implement with us, with your team, or with someone else entirely.

Process map of your operations

A clear, visual map of how work flows through your business today — including the friction points.

Business Productivity Scorecard

Your operation scored across eight dimensions, so you know exactly where you stand and can measure progress.

Prioritized opportunity map

Every improvement we identify, ranked by impact versus effort — so you know what to do first and what to ignore.

Tool stack assessment

Which tools to keep, connect, replace, or retire — with the overlaps and gaps made explicit.

90-day productivity roadmap

A practical, sequenced plan with owners, effort estimates, and expected time savings for each initiative.

AI readiness & governance review

Where AI can genuinely help, where it can't yet, and the usage standards your team needs either way.

Executive readout session

Findings presented to leadership in plain language, with time to pressure-test priorities together.

Everything in writing

A complete written report you own — useful whether you implement with us, internally, or with someone else.

The Business Productivity Scorecard

Know exactly where you stand

Your operation, scored across eight dimensions from evidence — interviews, process maps, and tool data. Not a gut feeling.

  • A baseline you can defend. Every score is tied to specific findings, so leadership sees why — not just what.
  • Priorities become obvious. Low scores with high business impact rise to the top of your roadmap automatically.
  • Progress becomes measurable. Re-score in six or twelve months and see the improvement in numbers, not anecdotes.

  1. 1

    Instant lead follow-up Quick win

Every enquiry acknowledged in minutes with routing to the right person — no lead sits overnight.

  2. 2

    Client onboarding workflow Quick win

A standardized onboarding sequence — welcome, documents, kickoff — triggered automatically for every new client.

  3. 3

    Reporting automation Quick win

Weekly and monthly reports assembled automatically from live data instead of rebuilt by hand.

  4. 4

    Internal knowledge base Core project

Policies, pricing, and how-tos in one searchable place — with AI-assisted answers for the team.

  5. 5

CRM cleanup & workflow rules Core project

One source of truth for customers, with data entered once and flowing everywhere it's needed.

  6. 6

Document & proposal generation Quick win

Proposals, contracts, and letters drafted from templates and client data in minutes, not hours.

  7. 7

    AI usage guidelines Quick win

Clear standards for what the team may use AI for, with what data, and how output is reviewed.

  8. 8

    Tool consolidation Core project

Retire overlapping subscriptions and connect what remains — fewer logins, fewer gaps, lower spend.

Questions

Asked before every audit

If yours isn't here, ask it on the consultation call — we'd rather you go in with clear expectations.

Is this an AI project?

Not primarily. It's an operations project. We look at processes, tools, and knowledge first — AI is one of several instruments we may recommend, and only where it demonstrably saves time or improves quality. Many of the highest-value fixes involve no AI at all.

Do we need technical staff for this to work?

No. The audit is designed for businesses without an internal automation or AI team. Recommendations favor tools your team can actually operate, and every roadmap item includes what it takes to run day-to-day.

How much of our team's time does the audit take?

Typically 45–60 minutes per interviewed stakeholder, plus a little coordination. We do the heavy lifting between sessions. The full audit usually touches four to six people across two to three weeks.

Will you push us to buy new software?

We're tool-agnostic and take no vendor commissions. Our first preference is consolidating and better using what you already pay for. New tools appear on the roadmap only when the case is clear.

How is this different from hiring an AI agency?

An AI agency starts from the technology and looks for places to apply it. We start from your operations and work backward to whatever fixes them — process redesign, standardization, automation, and AI where it earns its place.

What happens after the audit?

The roadmap is yours. Some clients implement internally, some engage us for specific builds, and some continue with the Business Productivity Partner retainer. There's no obligation to implement with us.

How do you handle confidential information?

All engagements run under a mutual NDA. We access only the systems you approve, and any AI-assisted analysis follows the same data standards we recommend to clients — no sensitive data in unapproved tools.

Will this disrupt our team's day-to-day work?

Minimally. The audit is interviews and observation, not a systems freeze. Implementation, when you choose it, is sequenced so changes land one at a time with training alongside.

What size of business is this designed for?

The sweet spot is 5–50 employees — large enough that inefficiency compounds, small enough that changes land quickly. The Snapshot suits smaller teams; the Transformation Audit handles multi-team and multi-location complexity.

Can you guarantee specific savings?

We don't promise multiples or headline percentages — every business is different. What we do guarantee is a clear, evidence-based account of where your time goes and a practical, prioritized plan to win a meaningful share of it back.
